Groundscapes is looking to immediately hire a Data Entry Administrator to join our fast-growing company! In this position you work as the record-keeper for all of our different residential and commercial customers: You will help us to 1) monitor our revenues by inputting data that keeps track of money owed to us by customers, 2) preparing invoices for existing residential and commercial clients, and 3) updating records as jobs are completed.

You are an ideal candidate for this position if you are a self-starter who also possesses strong attention to detail, and can work efficiently in a fast-moving environment. In addition, competitive applicants will also possess experience with Quickbooks or other relevant computer skills for quickly inputting and managing data. As a Data Administrator, you will have a direct effect on the overall efficiency of the company: information in our systems is only valuable if it is kept up to date for our different teams to utilize. 

 

Job Functions:

  • ​You will primarily, manage account balances to discover outstanding debts or other inconsistencies from our different clients. 

  • You collect all information needed to calculate bills receivable (order amounts, discount rates etc.)

  • You check the data input in the accounting system to ensure accuracy of final bill.

  • For all ongoing projects, you are responsible for issuing invoices and bills to send them to customers through various channels (mail, e-mail etc.)

  • For inquiring customers or where necessary, you will issue customer account statements detailing where their financing stands.

  • You are responsible for receiving and managing payments through various methods (cash, online payments etc.) and to also check for the credibility of each. Once the authenticity of a payment has been verified, you will also update existing accounting records with new payments, balances, customer information etc.

  • For all customers, you are expected to send payment reminders and to contact customers when assigned. In circumstances where customers have questions, you are tasked with answering all questions and handling all complaints regarding bills and the payments process.

  • On a weekly basis, you will report on all activity to upper management.

  • In any remaining free time, you will help in preparing and managing employee files, time cards, and payrolls, in addition to any other assigned tasks​.

 

Requirements:

  • General data entry experience

  • Capacity to adherence to laws and confidentiality guidelines

  • Proficient in MS Office (especially Excel); Working knowledge of relevant software (e.g. Quickbooks) will be mandatory.

  • Excellent mathematical abilities

  • Good organizational skills

  • Excellent communication skills

  • High school diploma; further education will be a plus, as is
    Construction knowledge.
