WHO WE ARE LOOKING FOR:
As our Design/Build Office Administrator, you’ll work within our Design/Build Division assuring that all projects are up to speed and moving along at their expected rate. You will oversee project folders, permit requirements and offer administrative and clerical support to Groundscapes.
QUALIFICATIONS:
- High School Diploma or equivalent
- Highly motivated, hardworking individual
- Demonstrated ability in data entry
- Ability to work well with others as a team member in a very fast-paced environment
- Proficiency in Microsoft Word, Excel and Google Docs, Sheets
JOB RESPONSIBILITIES:
- Receives and processes new job deposits, progress payments, and final payments
- Processes financing advancements via Enerbank and records in QuickBooks
- Sends monthly status of Enerbank financing accounts to sales consultants
- Provides customer statements to sales consultants
- Creates and manages project folders for new contracts
- Reviews project paperwork for required signatures and forms
- Emails finalized project paperwork to customers
- Inputs new customers/jobs into QuickBooks
- Sets up new projects in LMN Time for payroll timekeeping
- Creates project magnets for use on company project board
- Works with Design team to acquire project prints for permits, subs, and internal use
- Notifies Inventory team of new projects and provides contracts for material order
- Completes research on permitting requirements per city/county jurisdictions
- Completes research on inspection requirements per city/county jurisdictions
- Manages master spreadsheet of permitting and inspection requirements
- Notifies subcontractors of upcoming work via 3-step system
- Submits new locate requests to notify utilities of upcoming excavation work
- Submits locate requests for refreshes and damaged utilities
- Documents change order requests from the field and hands off to salesmen to quote
- Notifies Construction team of approved/denied change order requests
- Performs project folder closeout upon completion of project install
- Sends customer invoices upon completion of project install
- Works with AR and sales consultants to make collection calls on install projects only
- Documents projects ready for “swag bags” and thank you letters
- Documents projects ready for jobsite photos
- Provides general administrative support to sales consultants and construction teams, as needed
- All other duties as assigned
POSITION BENEFITS & COMPENSATION:
$16-20 per hour, depending on experience
